Retreat facilitator leading a group experience
Retreat Planning & Management

You Lead the Transformation.
I Architect Everything Else.

World-class retreat management for facilitators who refuse to choose between running logistics and holding space.

Venue sourcing. Travel coordination. Participant care. On-site operations. Every invisible detail that makes your retreat feel effortless — handled.

The Reality

Your Gift Is Transformation.
Not Logistics.

You started leading retreats because something called you — a deep pull to guide people through change. But somewhere between booking flights and negotiating with caterers, the magic gets buried under spreadsheets.

It doesn't have to be this way. The world's best retreat facilitators don't manage their own logistics. They have someone behind the scenes making everything feel effortless.

That someone is me.

  • Venue sourcing & negotiation
  • Flights, transfers & travel logistics
  • Participant onboarding & communication
  • Accommodation & room assignments
  • Catering, dietary needs & menus
  • Daily schedule & flow management
  • The unexpected — handled before you know it happened

Meet Your Retreat Architect

I'm Carolina.

A decade of retreat management across six continents. Hundreds of facilitators supported. One obsession: making transformational experiences run so smoothly they feel like fate.

I don't just handle logistics — I disappear into the architecture of your retreat so completely that your participants never see the work, only the wonder.

"Carolina is the calm center of every storm. She doesn't just manage retreats — she holds the entire container."

FAQ

Questions You're
Probably Asking

What exactly does a retreat manager handle?

Everything your participants never see but always feel — venue negotiations, travel logistics, catering coordination, participant communication, schedule management, and real-time problem solving. I become your operational partner so the only thing on your mind is guiding the experience.

I've been running retreats solo. Why would I need this?

You can feel the difference. When you're tracking arrivals, sorting dietary needs, and fielding vendor calls, you're not fully present with your group. Most facilitators tell me they didn't realize how much they were carrying until they stopped carrying it.

When should I start planning?

Six to twelve months out is ideal — enough runway to secure top venues, build momentum with marketing, and give participants time to commit. That said, I've pulled together beautiful retreats in as little as three months when the vision is clear.

What kinds of retreats do you support?

Yoga, meditation, wellness, plant medicine, personal development, leadership, creative — if it involves gathering a group in a meaningful place for a transformational experience, I've likely managed one like it.

What's the ideal group size?

Most retreats I manage range from 8 to 25 participants. Small enough for intimacy, large enough for group energy. The sweet spot depends on your format, venue, and the depth of experience you're creating.

What separates a good retreat from an unforgettable one?

Three things: intentional design, invisible logistics, and a facilitator who is fully present. When participants feel held by the environment and the facilitator is free to hold space — that's when transformation happens. My job is to make that possible.
